• Clients (vessel owners, captains, management companies): candidate profiles are shared only with relevant clients for the purpose of a specific placement, and only with the candidate’s knowledge
• Candidates: relevant vacancy details may be shared with candidates we believe are suitable
• Service providers: third-party tools we use to operate our business (e.g. email platforms, website hosting via Squarespace, accounting tools) — these providers are bound by confidentiality obligations
• Legal or regulatory authorities: if required by law
We will never share your personal data with third parties for marketing purposes without your explicit consent.
International Data Transfers
Quay Concierge operates internationally. Your data may be processed or accessed from countries outside your own. Where this occurs, we take reasonable steps to ensure appropriate protections are in place.
How Long We Keep Your Data
• Client data: retained for as long as we have an active business relationship and for up to 5 years thereafter for legal and accounting purposes
• Candidate data: CVs and placement records are retained for up to 3 years from the date of last contact, unless you ask us to remove your data sooner
• Website enquiry data: retained for up to 2 years
• Cookie and analytics data: in line with the relevant platform’s retention policy (typically 26 months for Google Analytics)
Your Rights
Depending on where you are located, you may have the following rights regarding your personal data:
• Access: request a copy of the personal data we hold about you
• Correction: ask us to correct inaccurate or incomplete data
• Deletion: ask us to delete your personal data (subject to any legal obligations to retain it)
